How much time do you really need to plan a destination wedding in Italy?
For most international couples, the ideal timeframe for planning a destination wedding in Italy is 12 to 18 months in advance. Starting earlier, around 18–24 months before the wedding, can be particularly helpful if you have a specific date in mind, are planning during the most popular months, have a large number of international guests, or are envisioning a multi-day wedding celebration.
That said, there is no single timeline that works for every couple. An intimate wedding with 20 guests and a relatively simple format can often be planned in less time, while a wedding weekend with several events, multiple venues and extensive guest logistics may require considerably more planning.
So, how far in advance should you plan a destination wedding in Italy? Ideally, you should start between 12 and 18 months before your wedding day. This gives you enough time to choose the right destination, secure your preferred venue and key vendors, and create the experience you have in mind without having to compromise unnecessarily.
And if you have less than a year? Don't worry. A shorter planning timeline is absolutely possible with the right strategy, flexibility and professional support.

How far in advance should you plan a destination wedding in Italy?
For most couples travelling to Italy from the United States, the UK, Australia or another international destination, 12–18 months is the ideal planning window.
This timeframe gives you enough flexibility to make the important decisions carefully rather than simply choosing whatever happens to be available.
The first months are particularly important because they establish the foundations of your wedding: the region, the venue, the date, the overall style and the team of professionals who will bring everything together.
If you already know that you want to get married in Italy, in a less traditional destination such as Le Marche, Umbria, Romagna or Abruzzo, you may find a different level of availability compared with some of Italy's most established wedding destinations. However, the most distinctive venues and the most sought-after photographers, floral designers and entertainment professionals can still book well in advance.
Starting early means having more possibilities rather than simply having more time.
Planning 18–24 months ahead
Starting 18–24 months before your wedding is particularly advantageous if you have a very specific date or season in mind, are planning a large celebration, or want to host several events over a wedding weekend.
It is also the timeframe I would recommend if the venue itself is a fundamental part of your vision.
A longer planning window allows you to explore different areas of Italy, compare venues, understand the logistics involved and build a vendor team that feels right for your wedding rather than rushing into decisions.
For international couples, this additional time can also make the experience much more enjoyable. You have the opportunity to plan a few trips to Italy, schedule venue visits and gradually make decisions without feeling that everything has to happen at once.
What should you book first for a destination wedding in Italy?
When planning a wedding from another country, it can be tempting to start with the visual details: flowers, stationery, table settings, dresses and décor.
In reality, the first decisions should concern the elements that shape the entire wedding.
A typical order of priorities would be:
The region and destination – before choosing a venue, consider what part of Italy best represents the atmosphere and experience you want for yourselves and your guests.
Your wedding planner – for an international wedding, having a professional who knows the area can make the entire planning process much more efficient.
The venue – once you have identified the right destination, you can look for a venue that fits your guest count, wedding style and overall vision.
The date – sometimes being flexible with your date can give you access to the venue or vendor team you really want.
The key vendors – photographer, videographer, caterer, florist, entertainment and other professionals who have a major impact on the wedding experience. Discover here how much does a wedding in Italy cost
The design and details – once the foundations are in place, you can focus on the elements that make the celebration uniquely yours.
This order is especially important when planning from abroad. You don't want to spend months designing a wedding before knowing whether the venue, season and logistics actually support the experience you want to create.
The structure comes first. The details come afterwards.
Can you plan a destination wedding in Italy in 12 months?
Absolutely.
Twelve months can be enough time to plan a beautiful destination wedding in Italy, particularly if you are reasonably flexible with your date and have a clear idea of the kind of celebration you want.
The advantage of working with an experienced wedding planner is that you don't have to spend the first few months figuring out where to begin. The planning can be structured around the decisions that matter most.
A possible 12-month timeline could look like this:
12 months before: choose the region, hire your wedding planner, research venues and secure your date
10–11 months before: book the main vendors
8–10 months before: develop the wedding concept and start working on guest logistics
6–8 months before: finalize stationery, flowers, music, transportation and additional events
4–6 months before: work on menus, design details, guest information and the overall wedding timeline
2–3 months before: finalize the guest list, seating plan and vendor details
Final weeks: confirm logistics, timelines and all details with your vendor team
Of course, this is not a rigid formula.
A 20-person intimate wedding at a private villa will have very different planning requirements from a 100-person wedding weekend involving several venues, accommodation blocks, transportation and multiple events.
Your timeline should reflect the complexity of the experience you are creating.
What if you have less than 12 months?
It is not necessarily too late.
Couples sometimes decide to get married in Italy with only 9, 8 or even 6 months to go. In these situations, the main difference is that you may have fewer options when it comes to dates, venues and some highly sought-after vendors.
Flexibility therefore becomes particularly valuable.
You may want to consider:
a weekday rather than a Saturday
spring or autumn instead of the busiest summer months
a less crowded destination
an intimate wedding rather than a large celebration
being flexible with your exact wedding date
A shorter planning period does not automatically mean a less beautiful or less personal wedding.
It simply means that decisions need to be made more efficiently.
This is one of the situations in which having a wedding planner who already knows the region and has an established network of trusted professionals can make a significant difference. Instead of starting from hundreds of possibilities, you can focus on the options that actually make sense for your wedding.
Why is planning ahead especially important for international couples?
Planning a destination wedding is different from planning a wedding close to home.
If you live in the United States, the UK, Australia or elsewhere outside Italy, you are making decisions from a distance. You may not know the different regions, you may not speak Italian fluently, and you may not be able to visit every venue or meet every vendor in person.
There is also another element that is easy to underestimate: your guests are travelling too.
Their experience begins long before they arrive at the wedding venue. They need to know where to stay, how to get there, how transportation will work and what they can do during their time in Italy.
For this reason, planning ahead gives you time not only to organize the wedding itself, but also to create a thoughtful experience for everyone travelling to celebrate with you.
And there is something else that matters just as much: trust.
Planning a wedding from thousands of miles away means building a team of people you can rely on. You need to feel confident that someone understands your vision, knows the local landscape and can manage the details even when you are not physically there.
When should you actually start planning your Italian wedding?
If you already know that you want to get married in Italy, my advice is simple: start exploring your options before you feel completely ready.
You don't need to know your perfect venue. You don't need to have chosen your photographer. And you certainly don't need to know what your tablescape will look like.
The first step is understanding what kind of experience you want to create.
Do you imagine a romantic wedding weekend surrounded by your closest friends and family? An intimate celebration in the Italian countryside? A historic villa? A private estate surrounded by vineyards or rolling hills? A multi-day experience where your guests can discover a part of Italy they have never visited before?
Once you know what matters to you, choosing the right region and building the right planning strategy becomes much easier.
For most couples, 12–18 months is a very comfortable timeframe. If you have a specific date, a highly sought-after venue or a complex wedding weekend in mind, starting 18–24 months ahead can give you considerably more flexibility.
And if you have less time, don't assume that your Italian wedding is no longer possible. A well-organized planning process can make a shorter timeline work.
